Keep a private record distinct from a price list. Record the day you received a quote and, separately, any validity date stated by the club. The receipt date says when you obtained information; it does not say how long an offer remains available. Never turn one individual quote into a current national tariff, even if the date is recent.

Work through the worksheet

Use a note such as received on Monday, validity not stated. If you return after a gap, request confirmation of the figures rather than editing the original date to make the note look new. Keep a superseded label on earlier records. A dated source and a dated calculation answer different questions and should not share one ambiguous timestamp.

Worked arithmetic, not a quoted price

Hypothetical example: your January note has £85 monthly and your later confirmation has £88 monthly. Record two versions. Twelve equal payments at the later amount total £1,056 before other charges; using the earlier amount would total £1,020. The £36 difference is arithmetic, not evidence of a general price change.

Check the uncertainty
